Export Bank Statement — bank statement PDF to Excel
helpQuick answer

Can QuickBooks Import PDF Bank Statements?

No — QuickBooks Online can't read a plain PDF and turn it into transactions. Its transaction import accepts CSV, Excel (.xlsx) and bank files in QBO or OFX format, not PDFs. The reliable route is to convert the PDF statement into a QuickBooks-ready CSV, check that every line reconciles against the running balance, then bring it in under Transactions > Bank transactions > Upload. That's a file import you run yourself, not a live bank feed.

People often point to the QuickBooks mobile app or the "receipts" upload and assume it covers statements. It doesn't. That feature reads individual receipts and bills to create expense records, not a full month of bank statement history. So if your data lives in a PDF, you've got one job first: get it into a clean CSV.

What QuickBooks will and won't accept

Here's the short version, because the confusion usually comes down to mixing up two different things.

You have

QuickBooks accepts it?

No — not as transactions

Yes

Upload under Bank transactions

Excel (.xlsx)

QBO / OFX bank file

Yes, via Receipts

Creates one expense, not a statement

A live bank feed is a separate thing again. Feeds pull recent activity from a connected bank, but they only reach back a few months. For anything older — a backlog, a migration, a closed account — you're importing a file.

Convert the PDF, then upload it

The steps below are the whole job. Do them in order; each one assumes the last is clean.

  1. Gather the statements. Download every month you need as a PDF, in date order, no gaps. A missing month means a missing opening balance later.
  2. Convert each PDF to a spreadsheet. Get the transactions out into CSV or Excel. Scanned or photographed statements need OCR to read the text; copy-pasting from a PDF tends to merge wrapped lines and scramble columns.
  3. Check the figures reconcile. Before you trust a row, confirm opening balance + money in − money out = closing balance. The running balance is your safety net — the first line where your recomputed total stops matching the bank's printed figure is exactly where a transaction was dropped or misread.
  4. Match the QuickBooks layout. At a minimum you need a Date column, a Description, and an Amount — either one signed column (negative for money out) or separate debit and credit columns. Strip currency symbols.
  5. Upload it. In QuickBooks Online, go to Transactions > Bank transactions, pick the account, choose Upload from file, map your columns when prompted, and import.
  6. Categorise and reconcile inside QuickBooks. The lines now sit in the For Review tab, ready to match against bills and invoices.

Why the reconciliation check matters here

Converting a PDF is the easy half. Knowing the converted file is *complete* is the hard half, and it's the step almost every tool skips.

Export Bank Statement converts the PDF — including scanned statements via OCR — into clean CSV or Excel, then runs the running-balance check for you. It recomputes the totals against the printed closing balance and flags any statement that doesn't reconcile, so a missing or misread line surfaces before it ever reaches QuickBooks. We once watched a tidy-looking import fail the check over a single £640 transfer dropped at a page break; the fix took a minute instead of being caught at quarter-end.

It exports in QuickBooks' native bank-import CSV format, so the lines come in cleanly. Be clear on what it is, though: convert, then upload. It doesn't push transactions into QuickBooks through a live bank-feed API, and it isn't a bookkeeping service — you decide what gets imported and reconciled.

Frequently asked questions

Can I upload a PDF bank statement directly to QuickBooks?

Not as transactions. QuickBooks Online imports CSV, Excel, QBO and OFX files. A PDF has to be converted to one of those formats first. The Receipts feature reads a single receipt or bill, but it won't ingest a full statement's transaction history.

What file formats does QuickBooks accept for bank transactions?

CSV and Excel (.xlsx) for manual uploads, plus QBO and OFX bank files. For a CSV you need a Date, a Description and an Amount — either one signed column or separate debit and credit columns.

Will QuickBooks' bank feed import my old statements?

No. Bank feeds keep a connected account current and only reach back a few months. Older history has to be imported manually as a CSV. See the import PDF statements into QuickBooks guide for the field-level detail.

How do I know the converted file is complete before I upload?

Check that each statement reconciles — opening balance plus all transactions should equal the printed closing balance. A converter that recomputes the running balance and flags any statement that doesn't reconcile catches gaps up front.
