Hubdoc Alternative for Bank Statement Conversion

An honest Hubdoc alternative for converting PDF or scanned bank statements from any bank to clean CSV — no Xero account needed, with a reconciliation check.

bolt

Let's be straight from the first line: Hubdoc is free with every Xero subscription, and if you're all-in on Xero it's a genuinely good tool. So the honest question isn't "what's cheaper than free" — it's "what fits when Hubdoc's approach doesn't". Hubdoc works by fetching bills, receipts and bank statements from a large set of connected institutions and vendors, extracting the key data and pushing it into Xero. That's brilliant when your bank and document sources are among its supported fetch connections. It's less helpful when they aren't.

Export Bank Statement comes at the same problem from the other end. Instead of connecting to your bank to fetch documents, it takes a PDF or scanned statement you already have — from any bank — and turns it into clean Excel or CSV, including formats you can import straight into Xero, QuickBooks or Zoho Books. It also runs a running-balance reconciliation check so you can confirm nothing was dropped in conversion. This is a convert-then-import workflow, not a live bank feed. Read on for where each tool wins.

A few of those rows deserve unpacking, because the table flattens some real nuance.

How the two actually differ

The core difference is *fetch* versus *convert*. Hubdoc reaches out to a connected institution or vendor, pulls the document, reads it and files the data into Xero — and it keeps the source document on hand. When the connection exists and works, you barely touch the statement yourself. It's an automation play, and a tidy one for a Xero-centric practice.

Export Bank Statement assumes you already hold the file. You export or download a PDF from your online banking, or you scan a paper statement, and you upload it. There's no connection to set up and no waiting on a fetch to succeed. That sounds like more manual effort, and for a supported, ongoing feed it can be. But it also means there's no bank that's off-limits, no connection that can silently stop fetching, and no requirement to be a Xero customer at all.

It's worth being clear about one thing so expectations are right: Export Bank Statement does not maintain a live link to your bank. You bring the statement; it gives you back a clean, importable file. If you want hands-off, always-on syncing into Xero from a supported source, that's exactly what Hubdoc is for.

The reconciliation check

Hubdoc gets your data into Xero and, for bank statements, can produce a CSV you import before you reconcile in Xero itself. Reconciliation, in that flow, happens in your accounting software after the data lands.

Export Bank Statement runs a check earlier, at the conversion stage. It verifies the extracted transactions against the statement's running balance — opening balance, plus money in, minus money out, should equal the closing balance. If a line was misread or dropped, the totals won't tie out, and the tool flags the statement as non-reconciling before you import anything. To be fair, this isn't some unheard-of capability and we won't pretend it is. The point is simply that the check sits in the conversion step, so you catch a bad extraction before it ever reaches your ledger.

Accounting export and fit

Hubdoc is Xero's own product and is naturally Xero-first, with support for QuickBooks Online as well. If your whole stack is Xero, that tight integration is the feature.

Export Bank Statement is deliberately accounting-agnostic. It exports native bank-import CSVs for Xero, QuickBooks and Zoho Books, so the choice of accounting software doesn't dictate the choice of converter. If you're on Zoho Books, or you move clients between platforms, or you simply want a plain spreadsheet, that flexibility is the draw.

When to pick which

Pick Hubdoc when:

  • You're committed to Xero and want documents flowing in automatically.
  • Your banks and vendors are among Hubdoc's supported fetch connections.
  • You want source documents fetched and stored for you, hands-off.
  • "Free with the subscription you already pay for" closes the case.

Pick Export Bank Statement when:

  • You have a PDF, scanned or photographed statement from *any* bank, including ones no fetch connection covers.
  • You're not on Xero, or you need QuickBooks or Zoho Books output.
  • You want the running-balance reconciliation check to confirm nothing was dropped in conversion.
  • You want a no-account, privacy-first one-off conversion, with files deleted after processing and never used to train AI.

The two aren't really enemies. Plenty of Xero users lean on Hubdoc for ongoing fetches and reach for a converter like this one for the awkward statement Hubdoc can't pull — an old account, a closed bank, a one-off from a source with no connection.

Frequently asked questions

Is there a free Hubdoc alternative?keyboard_arrow_down

Yes. Export Bank Statement is free to start and needs no account to convert a statement. That said, be clear-eyed about the comparison: Hubdoc itself is free, bundled with any Xero subscription. So a free alternative isn't about beating Hubdoc on price — it's about fitting cases Hubdoc doesn't, such as banks outside its fetch connections, non-Xero accounting software, or a quick one-off conversion.

Do I need Xero to use it?keyboard_arrow_down

No. Hubdoc is a Xero product and is built around Xero. Export Bank Statement has no such requirement — you can use it with no Xero account, and export native CSVs for QuickBooks or Zoho Books just as easily as for Xero.

Does it work with my bank if Hubdoc can't fetch it?keyboard_arrow_down

Almost certainly, because it doesn't depend on a connection to your bank. You supply the statement as a PDF or a scan, and the tool reads it directly. There's no list of supported fetch connections to fall outside of — if you can export or photograph the statement, it can convert it.

Is it a live bank feed like Hubdoc's fetch?keyboard_arrow_down

No, and it's important to set that expectation. Hubdoc automatically fetches documents from connected sources. Export Bank Statement is a convert-then-import tool: you bring an existing statement, it returns a clean importable file. For automatic, ongoing syncing from a supported source, Hubdoc is the right tool.

What about scanned or photographed statements?keyboard_arrow_down

Those are handled with OCR, so a scan or a phone photo of a paper statement converts the same way a digital PDF does. The reconciliation check runs on the result either way, which matters most with scans, where extraction is harder and a quiet error is more likely.

What happens to my files and data?keyboard_arrow_down

Uploaded files are processed and then deleted, and they are never used to train AI. The workflow is built to be privacy-first: you don't link a bank account, and the document doesn't linger after you've got your converted file.
