Upload a Kotak Mahindra Bank statement PDF and every transaction comes back as clean rows — date, narration, reference, withdrawal, deposit and balance — checked so the closing figure ties out. Export to Excel, CSV, or a Tally-ready XML for your accountant.
Kotak leaned into digital banking early — its 811 account is opened entirely on the phone with no branch visit — so a lot of Kotak customers live in the app and only reach for a statement at tax time. When they do, it's a PDF thick with UPI narration, and that's exactly what needs turning into rows.
What a Kotak statement looks like
A Kotak account statement uses these columns:
Column | What's in it |
|---|---|
Date | The transaction date |
Narration | The full payment detail and reference string |
Chq/Ref No | The cheque or reference number |
Withdrawal (Dr) | Money out |
Deposit (Cr) | Money in |
Balance | Running balance after the transaction |
The Narration column carries the load. A UPI line spells out the payee's UPI handle and a reference, a transfer names the beneficiary, and an auto-debit its mandate — long strings that wrap across lines. A rough PDF export reads the wrapped portion as its own row, breaking the transaction in two. The converter keeps the whole narration on one line, with the reference number beside it, so a month of 811-account UPI activity comes out as clean, searchable rows.
Where to download your Kotak statement
- Net Banking: log in at netbanking.kotak.com, go to Accounts → Statement, choose the account and period, and download the PDF.
- Kotak mobile app: open the account, select Statement, pick the period and save or email the PDF.
A Kotak e-statement PDF is password-protected — it opens with the password Kotak sets (shown on the download page). Once it's open the text is selectable and the conversion is exact. A scanned printout works too, through OCR.
Getting the numbers where you need them
- Excel or Google Sheets — a clean `.xlsx` or CSV, one row per transaction, ready to total, filter and pivot.
- Tally — a Tally-ready XML so the entries import as vouchers rather than being keyed in by hand.
- Zoho Books, QuickBooks and others — the same data in each one's format.
Before download, the maths is checked: opening balance, plus deposits, minus withdrawals, has to reach the closing balance. On a statement dense with UPI lines, that check is what catches a single entry dropped between pages.
Common snags with Kotak statements
- Long UPI narrations wrap. The full string is kept on one row instead of being split.
- Dr and Cr columns. Each amount stays in its own withdrawal or deposit column so the totals aren't reversed.
- Password-protected PDF. Open it with the Kotak password first, then convert the opened file.
Frequently asked questions
Can I convert a Kotak statement to Excel for free?keyboard_arrow_down
Yes. Upload the PDF and get a clean Excel or CSV back free to start, with the closing balance checked so it reconciles.
Does it work for the Kotak 811 digital account?keyboard_arrow_down
Yes. The 811 account produces the same statement layout as any Kotak account, so the conversion is identical — handy since 811 users rarely visit a branch and rely on the app.
Can I import a Kotak statement into Tally?keyboard_arrow_down
Yes. Export a Tally-ready XML and the transactions import as vouchers, so your accountant doesn't have to key a month of entries by hand.
What do the UPI and transfer narrations contain?keyboard_arrow_down
Each names the payment and its reference: a UPI line carries the payee's UPI handle and a reference, a NEFT or IMPS transfer its beneficiary, and an auto-debit its mandate. The converter keeps the whole narration on the transaction it describes.
My Kotak PDF is password-protected — will it still convert?keyboard_arrow_down
Yes, once you open it. Enter the password Kotak provides, and the converter then reads the opened statement's narration, references and amounts.
